You invite the sub. They handle their own paperwork and time. You verify, approve, and pay.

Invite a sub with an emailed code

Open a subcontractor, enter the owner's email, and click Invite. They get a six-character access code and a link to the portal login. No account to set up, nothing to install. Resend a fresh code anytime, or deactivate to cut off access.

They upload their paperwork

The sub uploads their insurance certificate, W-9, and licenses right from their phone. Your office verifies each one or sends it back for a corrected copy. You pick which documents are required, and RootControl watches the expiry dates for you.

Put them on a job

Assign the sub to a job with the scope of work and the agreed amount. That amount flows straight into the job's costing, and the assignment is what the sub picks from when they log time. If their required paperwork is missing or expired, RootControl warns you before you dispatch.

They log their hours or units

From the portal, the sub logs time against one of their jobs, with an optional photo. RootControl works out the payout from the rate card you set, so the number is right before it ever reaches you.

You approve and pay

Approve the time and the cost lands in that job's actuals. When you're ready to pay, bundle approved time into an invoice and push it to QuickBooks as a bill, then mark it paid with the check or reference number. Re-syncing won't create a duplicate.

Which plan is the Subcontractor Portal on?
The Subcontractor Portal is available on Professional and Enterprise plans. That includes the subcontractor login, the compliance document vault, job assignments, rate cards, time-log approval, and invoicing with QuickBooks sync.
Do my subcontractors need to create an account or download an app?
No. You invite a subcontractor by email and they receive a six-character access code and a link to the portal login. There is no account to set up and no app to install. They can log in from any modern phone or desktop browser, and each subcontractor only ever sees their own data, never another sub's and never your customers'.
What paperwork can I collect and require from subcontractors?

How do subcontractors get paid?
You set a rate card for each sub: an hourly rate, a per-unit rate such as mowing per acre, or a fixed amount. The sub logs their hours or units against a job, and RootControl calculates the payout from the rate in effect on the work date. Once you approve the time, you bundle it into an invoice and push it to QuickBooks as a vendor bill, then mark it paid with the payment method and check or reference number. Re-syncing an already-synced invoice will not create a duplicate bill.
Can a subcontractor change their hours after submitting?
A subcontractor can edit or withdraw their own time log while it is still pending, or after you have returned it with a reason. Once you approve a log it is locked, so approved job costs never change silently.
